Operational Scope & Legal Framework
This agreement constitutes a binding contract between the person or corporate organization booking transportation ("Client", "Passenger") and Jodhpur Urbania Hire, functioning as the Jodhpur operations unit of Urbania Rentals India ("Company", "We").
By submitting an inquiry form, transferring a booking token, or boarding an allocated Force Urbania van, you acknowledge that you have read, understood, and agreed to adhere to these operational terms and conditions.
Booking Intake, Token & Confirmation
To ensure complete scheduling accuracy, all reservations follow a verified three-tier process:
1. Schedule Intake & Feasibility
Submitting a website form or WhatsApp message initiates a feasibility review. An inquiry does not automatically guarantee or hold vehicle availability.
2. Advance Token Deposit
A date-specific reservation is confirmed only upon receipt of an advance booking deposit agreed upon with our Basni operations desk.
Upon token clearance, a digital Booking Confirmation Voucher containing vehicle seating layout, pickup window, and driver duty limits is issued. Vehicle registration numbers and driver phone numbers are communicated via SMS/WhatsApp prior to the reporting hour.
Tariffs, Inclusions & Commercial Terms
Pricing is formulated according to the specific service category. Rates from one travel category do not apply to another:
For outstation charters, kilometers and operational duty times are calculated starting from and ending at our regional depot at Basni Krishi Mandi, Jodhpur.
Passenger Manifest, Seating & Luggage Space
To ensure vehicular stability and comply with Central Motor Vehicles Rules (CMVR):
- Approved Seating Limits: Passengers must not exceed the certified seating capacity of the booked Force Urbania (7, 9, 12, or 16 passenger seats). The driver seat is legally separate. No lap seating or cabin overcrowding is permitted.
- Enclosed Luggage Policy: All heavy baggage (e.g., 28-inch check-in suitcases) must be stowed in the designated rear boot or luggage rack. Bags must not block passenger aisles, emergency exits, or occupy passenger seats.
- Prohibited Items: Flammable substances, explosives, firearms, contraband, or commercial goods exceeding statutory passenger luggage allowances are strictly prohibited.
Chauffeur Duty Hours & Road Safety
Road safety is paramount. Our professional chauffeurs operate under mandatory transport safety standards:
- Daily Duty Limit: Standard day duty comprises up to 10 to 12 operational hours. Continuous steering time without rest stops is capped at 4.5 hours.
- Night Halts & Rest: For multi-day outstation itineraries, chauffeurs require a mandatory 8-hour continuous night rest period to prevent driver fatigue.
- Speed Governance: All Force Urbania vans are fitted with RTO-approved speed-limiting devices. Chauffeurs are legally prohibited from exceeding regulated speed thresholds.
Cancellation, Date Modifications & Refunds
Vehicle allocations involve blocking valuable fleet inventory from other clients. In the event of a trip cancellation, the following terms apply:
| Cancellation Notice Window | Applicable Policy / Retention |
|---|---|
| More than 7 days prior to pickup date | Token refundable with deduction of 10% administrative processing fee. |
| Between 3 to 7 days prior to pickup date | 50% of the advance booking token is retained. |
| Less than 72 hours or Same-Day No-Show | 100% of advance token is forfeited; vehicle is released from dispatch. |
| Airport Transfer Inbound Flight Delay | Free rescheduling of staging bay within the same calendar day upon timely intimation. |
Passenger Conduct & Cabin Hygiene
To preserve the luxury interior and guarantee an enjoyable environment for all guests:
- No Smoking or Tobacco: Smoking, vaping, and chewing tobacco/pan masala inside the vehicle are strictly banned.
- Alcohol Consumption: Consumption of alcoholic beverages inside commercial vehicles is prohibited under state transport regulations.
- Interior Damage Liability: Spills, upholstery tears, or intentional damage caused by passengers will incur deep-cleaning and repair charges billed directly to the primary client.
Mechanical Breakdowns, Delays & Force Majeure
While our fleet undergoes rigorous maintenance at our Basni workshop, unforeseen events on Indian highways may arise:
Vehicle Replacement Protocol
In the rare event of a mechanical breakdown en route, our dispatch desk will arrange an alternate replacement vehicle at the earliest feasible time without additional rental cost.
Force Majeure Events
The Company is not liable for itinerary disruptions caused by road closures, natural disasters, protests, severe weather, train/flight cancellations, or highway blockades.
Governing Law, Jurisdiction & Helpdesk
This agreement is governed by the laws of India. Any legal dispute or claim arising from a booking or journey shall be subject to the exclusive jurisdiction of the competent courts in Jodhpur, Rajasthan.
